Data Protection Policy

1. Commitment to Data Protection

AgriMonitor is committed to the highest standards of data integrity, confidentiality and security. We operate in strict compliance with the Data Protection Act, 2012 (Act 843).

2. Data Security Measures

To protect sensitive geospatial and beneficiary information, we implement the following technical and organizational security measures:

• Encryption: All Programme Data is encrypted both at rest and in transit.
• Access Control: We utilize strict role-based access controls (RBAC) to ensure that only authorized personnel can access sensitive datasets.
• Infrastructure: We maintain secure hosting and rigorous backup procedures to prevent data loss.
• Auditability: We maintain comprehensive audit logs for all instances of data access to ensure accountability.

3. Data Usage and Confidentiality

• Purpose Limitation: All Programme Data, including satellite imagery, shapefiles, and analytics, is used solely for the purposes defined in our service agreements.
• Confidentiality: All non-public technical, commercial and programme information is treated as Confidential Information. We take all reasonable steps to protect this information from unauthorized access and these obligations remain in effect for a period of five (5) years following the conclusion of any service agreement (dependent on length of any contract or service agreement we enter with our clients).

4. Breach Notification Protocol

AgriMonitor adheres to a strict reporting timeline in the event of a security incident:

• Initial Report: Any actual or suspected data breach will be reported to our partners or clients within 24 hours.
• Full Investigation: A comprehensive report detailing the incident and mitigation steps will be provided within 72 hours.

5. Data Ownership and Handover

• Proprietary Rights: While Xavier Space Solutions retains ownership of its 'Background IP' (pre-existing algorithms and tools), all project-specific Programme Data generated for our clients remains the exclusive property of the client/programme.
• Secure Handover: Upon contract or service expiry or termination, AgriMonitor ensures the secure transfer of all Programme Data, credentials and system access to the client within seven (7) working days.
